Describe the change and its purpose
Identify the location, affected work and intended outcome, with a drawing or photograph when useful. Explain whether the change follows an operational need, an interface issue or new information. A defined request allows disciplines to assess the same problem.
Review the impact before a decision
Review design, quantities, materials, procurement, sequencing and completed work. Document cost and programme effects, approval needs and assumptions. A visually small adjustment may affect systems or purchases that are not obvious in the initial sketch.
Record authority and the approved revision
Identify who may request, approve and communicate changes. Record each request’s status, date and supporting documents, then distribute the approved revision to affected parties. Agree a process for urgent situations that retains a clear decision record.
Carry the decision into closeout records
Update drawings, quantities, programme and handover requirements to reflect approved changes. When discussing project management, share your approval process and participating organisations so the register and reports fit your decision structure.
