A BETTER PROJECT BRIEF

Steps to support your decision.

Agree the handover file early

Agree required records in the scope: updated drawings, test results, equipment information, operation and maintenance instructions and applicable warranties. Assign ownership and file formats. Waiting until completion can expose gaps in records for work that is already concealed.

Collect inspection records as work progresses

Identify work requiring inspection or specialist attendance before concealment or operation. Records should identify the reference, location, date, result and closure of observations. Specifications, appointments and relevant project parties determine the inspection and acceptance requirements.

Assign ownership and dates to outstanding items

Organise outstanding items by area, discipline and effect on use. Assign an owner, target date and closure evidence, including reinspection where needed. This helps distinguish initial acceptance, completion of outstanding work and final handover under the agreed arrangements.

Prepare the operating team

Arrange agreed system demonstrations, access information, supplier details and maintenance contacts where relevant. Tell us who will receive the property and which file formats they use, so handover is planned within the programme.
